Direct Shipper Outreach: Email Templates That Make a Difference

Everyone tells you to find direct shippers, but no one tells you how to do it. Here is a 5 step email guide to land meetings with direct shippers!

    Email Sequence 1

Week 1: Plan to send out this email Tuesday morning.

Subject Line: Greetings from your neighbor

    Body:

    Hey [xx],

I’m just down the street from you, and wanted to introduce myself. I run a fleet of x trucks, specialized in hauling Y commodities. I noticed your company does Y. I know you probably have dedicated carriers or brokers already, but proximity could be an asset for prompt solutions.

Would it be alright if I drop by this week for a quick 5 minutes intro?

    Best regards,

    [your name | title]

    Hi [xx],

    Email Sequence 3

Week 2: Features Highlight on Tuesday

Subject Line: What sets your neighbor apart?

    Body:

    Hello [xx],

Just thought I’d share a bit about why our service might be an asset:

    1. Real-time Tracking: Know where your consignment is, every step of the way.
    2. Competitive Rates: We ensure you get the best value for your money.
    3. Driver Mobile App: Directly chat with our dispatchers and drivers – no middlemen.
    4. Automated Updates: Geo-fencing technology lets you know the moment our drivers arrive or depart from pickups and deliveries.

All these while being just down the road from you!

Would these make your job easier? If not, do you mind sharing if you currently have any manual processes that I could help simplify?

    Best regards,

    Sequence 4: In person visit

Week 2: Visit them Friday after lunch

If the prospects reply back to you, great!

If not, just go drive by their warehouse and introduce yourself anyway!

This is what you say “Can I speak to [XXX if you know their name]. If there is a gatekeeper, just tell them hi can I speak to the shipping manager?

Once you see the person, introduce yourself like the email. Be confident. You are trying to help them, not begging for their business. The more confident and natural you are, the more likely to win their business.

And it’s okay if you mess up. It takes about 20 visits to become really good at this!

    Trust the process!

    Email Sequence 5

Week 3 Wednesday: Addressing Concerns & Back-up Plan

Subject Line: Need a backup? Or tackling any pains?

    Body:

    Hi [xx],

Our trucking market shifts like the housing market. If you ever face hiccups with your current trucking provider or just need a backup plan, remember, I’m just a few blocks away. Would love to be of service and make your logistics smoother.

I don’t want to keep bugging you, so please let me know if it’s just bad timing now, or you’re not interested to work with us at all, so I stop spamming you.

    Best regards,
